Meeting transcription and notes guide

How to turn a meeting recording into AI notes

Learn how to record or upload a meeting, create a transcript, review important details and turn the conversation into a summary and meeting notes.

Trying to write complete notes while a meeting is happening can split your attention between listening and typing. A recording-first workflow lets you capture the conversation, create a transcript afterward and then reduce that transcript into the points you actually need to keep.

The useful distinction is simple: the recording preserves the conversation, the transcript makes it searchable, the summary gives you the big picture and the final notes keep decisions, follow-ups and other details in a format that is easier to revisit.

Gyuret Notes works from recorded audio. You can record supported meeting or computer audio in a compatible browser, or upload a meeting recording you already have.

Record a meeting to text

1. Choose between recording the meeting and uploading an existing file

If the meeting has not happened yet, Speech to Text is the natural starting point. You can record microphone audio in the browser, and supported desktop browsers can also capture compatible computer audio when the browser and operating system allow it.

If the meeting is already saved as an audio or video file, use Audio & Video to Text instead. Uploading the original recording is usually cleaner than playing it through speakers and recording it a second time.

  • New in-person conversation: use microphone recording when appropriate.
  • Supported online meeting: capture compatible computer audio, microphone audio or both when available.
  • Existing meeting file: upload the saved audio or video directly.

2. Record meetings only when everyone who needs to know has been informed

Meeting recordings can contain private, personal or confidential information. Before recording, follow the rules that apply to the meeting, organization and location, and make sure you have any permission or consent that is required.

The same care applies after the meeting. Do not share a recording, transcript or notes more widely than the conversation should be shared.

3. Create the transcript before trying to make perfect notes

The transcript gives you a searchable text version of the recorded conversation. Instead of relying on memory or trying to capture every sentence live, you can review what was said after the meeting and focus on the parts that matter.

For a long meeting, treat the transcript as a detailed source rather than the final note. Its job is to preserve context so that the summary and shorter notes do not have to carry every detail.

4. Review names, numbers, dates and important wording

Automatic transcription saves time, but meetings are difficult audio: people interrupt each other, use names and acronyms, speak from different microphones and sometimes talk over background noise. Review the transcript before relying on important details.

Pay special attention to anything that could change the meaning of a follow-up, such as a person's name, a deadline, a number, a technical term or a decision that was phrased carefully.

  • Check names, dates, numbers and specialist terms.
  • Review sections with overlapping speakers or poor audio.
  • Return to the recording when exact wording matters.
  • Do not assume an automatic transcript identifies every speaker perfectly.

5. Turn the transcript into useful AI meeting notes

Once the transcript is readable, create a summary to surface the main topics and then organize the parts that matter for future work. This is where an AI note-taking workflow becomes more useful than a raw recording alone.

The final notes should be shorter than the transcript. Keep the information someone would need to understand what happened and what needs attention next, rather than preserving every conversational detour.

  • Short meeting summary
  • Main topics discussed
  • Decisions or conclusions worth keeping
  • Follow-up tasks or action items mentioned in the conversation
  • Deadlines or dates that need verification
  • Open questions that still need an answer

6. Transcript, summary and meeting notes are not the same thing

A transcript is the detailed text of the conversation. A summary compresses the main ideas. Meeting notes are selective: they keep the information that is useful after the call, such as decisions, follow-ups, questions and context you need to remember.

Use the summary first when you want orientation, the notes when you want a practical record and the transcript when you need to inspect exactly what was said.

7. A simple structure for meeting notes

A repeatable structure makes meeting notes easier to scan later. You do not need a complicated template; a few consistent headings are usually enough to separate context from follow-up work.

  • Meeting and date
  • Participants, if you need to record them
  • Purpose or topic
  • Key points
  • Decisions
  • Action items and owners to confirm
  • Deadlines to confirm
  • Open questions

8. Gyuret Notes is not a bot that joins Zoom, Google Meet or Microsoft Teams

Some AI meeting note takers join a call as a separate participant or connect directly to a meeting platform. Gyuret Notes uses a different workflow: it records microphone audio or computer audio in the browser when your browser and operating system support the required capture.

That distinction matters because a keyword such as 'meeting note taker' can describe several different products. If you specifically need a bot that automatically joins calendar meetings or a native Zoom, Google Meet or Microsoft Teams integration, that is a different workflow from the current Gyuret Notes recording tools.

9. Use an existing meeting recording when live capture is not the right option

You do not need to record through Gyuret Notes to use the meeting-note workflow. If you already have a permitted audio or video recording, upload the file, create the transcript and continue with the summary and notes from there.

This is useful for interviews, team calls, presentations, webinars and other recorded conversations where the speech is already saved and the main job is turning it into searchable information.

10. Keep the recording as the final source for important details

AI meeting notes are useful for review, but they are still derived from the recording and transcript. A summary can omit context, and a transcript can mishear a word. For important decisions, commitments, quotes or dates, check the original recording or another authoritative source before relying on the note alone.

The strongest workflow is not 'record and forget.' It is record, transcribe, summarize, organize and verify the details that actually matter.

Common questions

Can Gyuret Notes create AI meeting notes from audio?

Yes. Record supported meeting audio in the browser or upload an existing meeting recording, create the transcript and then continue with a summary and notes.

Can Gyuret Notes record an online meeting?

Yes, when your browser and operating system support the required audio capture. Supported desktop browsers can capture compatible computer audio, and microphone recording is also available.

Does Gyuret Notes join Zoom, Google Meet or Microsoft Teams as a meeting bot?

No. The current workflow records microphone or computer audio in the browser; it does not join a meeting as a separate bot or claim a native platform integration.

What should I keep in AI meeting notes?

Keep the main topics, important decisions, follow-up tasks, dates, open questions and enough context to understand them later. Verify critical details against the transcript or recording.

What is the difference between a meeting transcript and meeting notes?

A transcript is the detailed text of what was said. Meeting notes are shorter and selective, keeping the information that is useful after the conversation.

Can I upload a meeting recording I already have?

Yes. Use Audio & Video to Text for a supported saved audio or video file, then review the transcript and create the summary or notes you need.
